1. Who we are
MUSIC 4 MEMORIES LTD is the data controller.

2. What data we collect
When you make a reservation (without creating an account), we collect:
- Identity and contact data: full name, email address, telephone number
- Event data: music category, event date and time, venue/location, estimated guest count, free-text notes
- Booking metadata: unique reservation key, booking status, creation timestamp
- Technical data: standard server/security logs that our hosting and Firebase providers may process
We do not require user accounts or passwords for reservations.
3. Why we use your data (purposes & lawful bases)
- Contract / steps prior to contract: to receive, manage and respond to your music reservation request.
- Legitimate interests: to keep records of enquiries, prevent abuse of the booking form, and improve our service — balanced against your rights.
- Legal obligation: where we must retain records for accounting, tax or regulatory reasons.
- Consent: where you optionally provide additional notes or marketing preferences (if offered later).
4. Where your data is stored
Reservation data is stored in Google Firebase / Cloud Firestore on behalf of MUSIC 4 MEMORIES LTD. Google may process data in the UK, European Economic Area, or other locations under appropriate safeguards described in Google’s terms and transfer mechanisms.
5. Who we share data with
- Infrastructure providers necessary to run this website and database (notably Google Firebase)
- Professional advisers or authorities if required by law
We do not sell your personal data.
6. How long we keep data
We keep reservation records for as long as needed to deliver the booking and for a reasonable period afterwards (typically up to 24 months from the event date, or longer if required for legal claims or accounting). You may request earlier deletion where applicable.
7. Your rights
Under UK data protection law you may have the right to access, rectify, erase, restrict, object to processing, and data portability, and to withdraw consent where processing is consent-based. You may also complain to the UK Information Commissioner’s Office (ICO): ico.org.uk.
To exercise rights, email contact@music4memories.online and include your reservation key if you have one.
8. Children
This reservation service is intended for adults booking events. If you believe we have collected a child’s data inappropriately, contact us and we will delete it.
9. Changes
We may update this policy. The “Last updated” date at the top will change when we do.
